Job Summary

Hologic is seeking an Executive Assistant to support multiple members of our executive team to provide high-level administrative supportby conducting research, preparing statistical reports, handling information requests, and performing clerical functions such aspreparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

Essential Duties and Responsibilities

The incumbent may be asked to perform other function-related activities in addition to the below mentioned responsibilities as reasonably required by business needs.

  • Provide high-level administrative supportby conducting research, preparing statistical reports.

  • Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.

  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.

  • Calendar oversight for executives and extended teams as required, scheduling professional appointments in a fast paced and environment, ensuring timeliness and correct attendees.

  • Schedule and coordinate group meetings including creating and distributing agenda, planning location, ordering catering and managing PowerPoint presentations and handouts.

  • Conduct general administrative tasks, such as filing, answering phone calls and heavy emails.

  • Prepares documents including correspondence and communication, timelines, meeting agendas, etc.

  • Creates and tracks divisional specific reports (i.e. headcount, expense & capital budgets).

  • Prepare and submit expense reports in an accurate and timely manner.

  • Demonstrate focus on understanding and anticipating the needs of the executive clients.

  • May be assigned special projects as needed.

  • Overnight travel to support offsite and extended team meetings.


  • Bachelor’s Degree


  • At least 5 years of experience providing vice president and above administrative support; large company experience preferred.


  • Impeccable integrity and credibility

  • High level communications and interpersonal skills. Must have ability to communicate clearly and partner well with administrators and executives.

  • Self-motivated with a strong work ethic; dedicated to quality, quantity, and timeliness of results; 100% reliable in tracking, communicating, and completing all business in a timely and efficient manner

  • Demonstrated ability to prioritize work and deliver results with accuracy and detail

  • Excellent planning, time-management, and organizational skills – extremely fast-paced environment

  • Demonstrated project management skills.

  • Ability to handle sensitive information with a high degree of discretion and confidentiality

  • Demonstrated ability to take initiative, anticipate needs and exercise independent judgment

  • Expertise with Microsoft Suite offerings, including Word, Excel and PowerPoint

  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar

  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology
